How does the notetaker work? Do clients see it?

Connect Google or Microsoft Calendar and the Said & Done Notetaker is scheduled for eligible future video meetings. It joins as a visible, named participant, records the meeting, and creates a speaker-attributed transcript. Meeting hosts can deny admission or remove it at any time.

Can we stop the notetaker from recording a meeting?

Yes. The host can deny admission or remove the visible notetaker to stop further recording. Disconnecting a calendar removes its future scheduled notetakers. Media captured before removal may remain available during the seven-day retention window, and transcript upload is always available as an alternative.

Are recordings available after the meeting?

Yes. Authorized users can replay a native notetaker recording for up to seven days and follow the transcript word by word. Active meeting-summary share links can also provide recording playback to their intended recipients.

What does the Gmail connection do?

Said & Done requests read-only Gmail access, matches relevant messages to client records, extracts new action items, and recognizes replies that show work was completed. It cannot send, edit, or delete email in your Gmail account.

Which AI models does it use?

Your choice. Use a supported provider such as Anthropic Claude, OpenAI, Google Gemini, Mistral, DeepSeek, Groq, and others. Provider credentials are encrypted at rest and used only for your account’s processing.

Is our client data safe?

Account data is isolated with row-level security, calendar access is read-only, and Google or Microsoft OAuth tokens are handed to the meeting infrastructure without being retained by Said & Done. Internal workspaces and invited client accounts use separate access paths.

What do clients actually see in the portal?

Invited contacts see content that is published for their audience, including relevant meeting summaries and insights, assigned action items, reports, confirmed timeline events, and billing-cycle progress. Full transcripts and raw AI output are not exposed through the client portal.
